Once people start submitting your forms or answering your polls, you'll want to see what they've sent in. This article covers where to find submissions in Spoks, how to read the summary and submissions views, how submissions connect to contacts, and how to export the data.
Where to find submissions
Submissions live in the form overview dialog, which can be opened in three ways:
From the forms page: Click (or tap) any form or poll. The overview dialog opens with the Summary and Submissions tabs available.
From the posts page (web only): Click View responses on a post that has a form or poll attached.
From the view post dialog: Open a post and click the X submissions button at the bottom.
When you open the overview dialog from a post, it shows responses for that post by default. A toggle near the top — See only responses from this post — lets you switch between viewing only this post's responses or all responses across the form. The toggle resets each time you reopen the dialog, but it does persist when you switch between the Summary and Submissions tabs within the same session.
If a post has more than one form or poll attached, you'll first see a Responses dialog asking you to pick which one you want to view.
The summary view
The Summary tab gives you a quick overview of the responses, with the layout depending on the type of question or form.
Forms show recent answers grouped by question, with a list of the most recent responses for each.
Polls show a results breakdown for the choice question, with a percentage and respondent count for each option. Click an option to see who selected it.
Choice questions inside forms (single choice, multiple choice) show a bar chart with absolute counts and percentages for each option.
The summary doesn't include aggregate statistics like completion rates — it focuses on the answers themselves.
The submissions view
The Submissions tab shows a list of every individual submission, sorted by date. Each entry shows:
The connected contact's name, or Anonymous submission if no contact is connected.
The date and time of the submission.
Click (or tap) a submission to open its full details. The detail view shows the connected contact at the top (with name, phone, and email if available), followed by every question on the form and the answer given. Questions left unanswered show as Not answered.
How submissions connect to contacts
Each submission is associated with a contact whenever possible. How that connection is made depends on what information is available:
If the visitor was logged in when submitting, the submission is connected to their contact. This holds even if they enter a different email or phone in the form itself.
If the visitor wasn't logged in but provided an email or phone, Spoks either matches them to an existing contact or creates a new one.
If neither a logged-in contact nor an email or phone is available, the submission is recorded but isn't connected to any contact. These appear as Anonymous submission in the submissions list.
When a submission is connected to a contact, any answers to Name, Email, Phone, or custom field questions will populate the corresponding fields on the contact.
Submissions can't be reassigned to a different contact after they're created.
Exporting submissions
You can export submissions to a spreadsheet for use outside Spoks.
Open the form overview dialog and switch to the Submissions tab.
Click the download button above the submissions list.
Choose CSV or Excel in the dialog that appears.
The file downloads immediately and contains all the submission data Spoks has for that form.
If you opened the dialog from a post and the See only responses from this post toggle is on, the export only includes responses from that post. To export all responses, turn the toggle off before exporting.
There are no other export options — the export always includes every field for every submission within the active filter.
What you can't do with submissions
A few things to be aware of:
Submissions can't be edited. Once submitted, the data is read-only.
Submissions can't be deleted.
Submissions can't be reassigned to a different contact.
Submissions can't be marked as read, unread, or archived.
